CHURCH ACCOUNTANT JOB DESCRIPTION 

Part-time Position - Approximately 20 hours per week - $20 to $25 per hour.

Position Overview: The Church Accountant is responsible for maintaining accurate financial records for Heritage Baptist Church (HBC) and the Heritage Learning Center (HLC) preschool.  This position will work directly under the supervision of the Church Treasurer and the Preschool  Director. The position will manage the week-to-week accounting operations and support the  financial stewardship of the HBC and HLC. This position will be a combination of office hours  and remote work.  

Key Responsibilities (for both sets of books): 

Financial Record Keeping 

• Maintain the general ledger and chart of accounts 

• Record Journal Entries 

• Process accounts payable invoices and credit card statements 

• Record and categorize all financial transactions including offerings, donations, tuition  and income and expenses 

• Reconcile bank statements, credit card accounts, investment accounts and all balance  sheet accounts monthly 

• Process payroll semi-monthly and record general ledger entries 

• Track restricted and unrestricted funds separately 

Reporting and Analysis 

• Prepare monthly financial statements including balance sheet, income statement,  statement of changes in fund balances 

• Generate the Treasurers Report each month for review by the Treasurer • Assist the Finance Committee in preparing the annual budget materials and monitor budget vs. actual performance 

• Generate monthly financial statements, for review with the HLC and Preschool  Committees 

• Provide financial analysis and recommendations to leadership of HBC and HLC Compliance and Tax 

• Ensure compliance with IRS regulations for tax-exempt organizations • Prepare Maryland Annual Report and Personal Property Tax Return in March • Issue annual contribution statements to donors. Process acknowledgment letters as needed • Maintain documentation for audit purposes or outside review

Internal Controls 

• Maintain internal financial controls 

• Ensure proper segregation of duties where possible 

• Maintain documentation and backup for all financial transactions 

• Safeguard financial assets and maintain confidentiality 

• Maintain financial policies and procedures manual 

Administrative Support 

• Prepare special reports as requested by staff and ministry leaders 

• Make bank deposits as needed 

• Manage relationships with banks, vendors, and other outside parties 

• Assist with financial aspects of special events and fundraising activities • Other tasks as requested to support the church financial operations 

Qualifications: 

Required 

• Minimum 3-5 years of accounting/bookkeeping experience 

• Strong understanding of fund accounting principles 

• Proficiency in QuickBooks accounting software 

• Aptitude to learn Planning Center (church management software) and Procare (Preschool  billing software) 

• Proven Excel Skills 

• Strong attention to detail and organizational skills 

• High level of integrity and ability to maintain confidentiality 

• Excellent communication skills 

Preferred 

• Previous experience with nonprofit or church accounting 

• Experience with payroll processing 

• Familiarity with donation management systems
